The sourcing sequence, from shortlist to repeat order

Each step produces something you can judge before committing to the next one. Buyers who run them in order rarely discover a problem after the container has sailed.

  1. 01

    Vet the supplier on evidence

Ask for the ISO 9001:2015 certificate and verify it on the certification body's register. Request the machine list, photographs of the inspection area and two or three recent inspection reports for parts similar to yours.

  2. 02

Walk the shop floor by video

A 20-minute call covers bar stock handling, turning and milling setups, the inspection bench and packing. Ask which instruments measure your critical features, and which operations are subcontracted.

  3. 03

    Send one complete RFQ

PDF drawing with revision, STEP model, material and grade, quantity per order and per year, surface finish or coating, certificates required, Incoterm and destination port. A complete pack is quoted in 24 hours; an incomplete one is quoted with assumptions.

  4. 04

    Approve a first-article batch

Order a small quantity with a dimensional report against the drawing. Fit the parts in your assembly before releasing production, and record the approved drawing revision against the part number.

  5. 05

    Fix the commercial terms

Agree the Incoterm and named place, the payment split, the document set and who is exporter and importer of record. EXW Pune, FOB Nhava Sheva or Mumbai, and CIF to your port are the usual options.

  6. 06

Plan the freight and the repeat cycle

Decide sea or air per order rather than per supplier, then set call-off quantities against an annual volume so production and packing are scheduled instead of expedited.

Why buyers source machined parts from India

India has a deep engineering workforce, mature machine-tool industry and English-speaking technical teams. Many buyers add Indian suppliers as part of a China+1 strategy to spread risk and reduce exposure to tariffs and long lead times.

Indian suppliers are strongest in turned parts, shafts, flanges, fittings and engineering plastics, from prototypes through high-volume production.

  1. 01 / 05

    1. Vet the supplier

Ask for the ISO 9001 certificate and check it on the certification body's register. Request a machine list, a photo of the inspection room and sample inspection reports. Ask which parts they make most often and for which industries.

A short video call walking through the shop floor answers most questions in 20 minutes.

  2. 02 / 05

    2. Send a complete RFQ

Include a PDF drawing with tolerances and a STEP model, material and grade, quantity per order and per year, surface finish or coating, required certificates (MTC 3.1, inspection report), packaging and destination port.

The clearer the RFQ, the faster and more accurate the quote. We reply within 24 hours.

  3. 03 / 05

    3. Approve samples

For new parts, order a small first-article batch with a full dimensional report. Check fit in your assembly before releasing production.

  4. 04 / 05

    4. Agree Incoterms and payment

FOB Nhava Sheva lets you use your own forwarder; CIF to your port means the supplier books freight. Common payment terms are advance for samples and an agreed split or Letter of Credit for production.

    5. Plan logistics

Sea freight from India takes about 4–7 days to the UAE, 18–28 days to Europe and the UK, and 25–35 days to the USA. Air freight takes 2–6 days for urgent orders. Insist on VCI anti-rust film and ISPM-15 heat-treated crates.

What to send, and what delays the quotation

Nearly every slow or caveated quotation traces back to a missing input rather than to a hard part. This is the split, from the supplier's side of the enquiry.

Send this with the enquiry

  • PDF drawing with the revision mark, plus a STEP or IGES model for the geometry
  • Material grade in a recognised designation, for example SS 316, SS 410, EN8, EN24, CZ121 brass
  • Quantity for the first order and the expected annual usage, stated separately
  • The two or three dimensions that decide assembly, marked as functional
  • General tolerance class, for example ISO 2768-m, so the rest of the drawing is priced sensibly
  • Certificates needed: EN 10204 3.1 material certificate, dimensional inspection report
  • Incoterm with the named place, destination port and any packing requirement

These cause requotes and surprises

  • A hand sketch or screenshot with no revision and no tolerances
  • Tight tolerances applied to every feature rather than the functional ones
  • Specifying a coating but not the standard, thickness or whether acceptance is measured before or after it
  • Leaving the Incoterm as "best price delivered" with no named port or address
  • Assuming a supplier holds AS9100 or ISO 13485 because it holds ISO 9001
  • Expecting CMM or in-house material and hardness testing without confirming the inspection method first
  • Booking air freight late because annual volume was never shared

FOB Nhava Sheva or CIF your port for the first order

EXW suits buyers who already have an Indian agent. For everyone else the choice is between controlling the sea leg yourself and asking the supplier to book it.

Write the rule with its named place and the rules year on the purchase order, for example "CIF Rotterdam, Incoterms 2020". Under both rules risk passes at the port of shipment, so cover the voyage even when freight is prepaid.

RFQ to delivered batch

Production and freight are separate clocks. Plan both: the transit figures below are port to port and exclude customs clearance and inland delivery.

  1. Day 0

    RFQ sent

Drawing, STEP model, grade, both quantities, certificates, Incoterm and destination port in one message. NDA signed first where the drawing is confidential.

  2. Within 24 hours

    Quotation returned

Piece price, setup or tooling, lead time, the Incoterm quoted and any assumption made where the drawing was open to interpretation. There is no fixed minimum order quantity.

  3. First article

    Sample batch and dimensional report

Programming, machining and inspection against the drawing using calipers, micrometers, bore gauges, height gauge and dial test indicators on a granite surface plate. Fit the parts before releasing production.

  4. After approval

    Production batch

Machined to the approved revision, with partner plating, anodising, passivation or heat treatment re-inspected in house on return. Inspection report issued with the batch; EN 10204 3.1 material certificate on request.

  5. Dispatch

    Packing and documents

VCI anti-rust film and ISPM-15 heat-treated crates, marked with part numbers and weights. Commercial invoice, packing list, certificate of origin and inspection report accompany the shipment.

  6. In transit

    Sea or air

Sea is about 4–7 days to the UAE, 18–28 days to Europe and the UK, and 25–35 days to the USA. Air is 2–6 days where a line is down and the premium is worth paying.

The short answer

How to source CNC machined parts from India

Verify the supplier's ISO 9001:2015 certificate on the issuing body's register, confirm the machine list and the actual inspection instruments, then send one complete RFQ with a revision-marked drawing, a STEP model, the grade, both quantities and the destination port. Approve a first-article batch with a dimensional report before releasing production, and settle the Incoterm, payment split and document set in writing. Precision Machining India machines in Pune, Maharashtra and exports to more than 45 countries.

  • Strongest fit: turned parts, shafts, flanges, fittings and engineering plastics
  • ISO 9001:2015 certified; AS9100 and ISO 13485 are not held
  • Inspection by Mitutoyo hand metrology on a granite surface plate, not by CMM
  • EXW Pune, FOB Nhava Sheva or Mumbai, or CIF to your port
  • RFQ answered within 24 hours, NDA on request, no fixed minimum order quantity
  • Export pack: VCI film, ISPM-15 crates, full document set with each shipment
